98% of employees claim freedom to focus on their roles in the face of bureaucratic IT security and overloaded communication platforms

LONDON, May 17, 2022 /PRNewswire/ — According to the latest research from Zivver, a leader in secure communications solutions, information security processes can do more harm than they help, diminishing staff attention and exposing businesses at greater risk of a data breach. Survey of over 6,000 end users and 850 IT decision makers in Europe and in the United States, it is one of the world’s largest surveys of secure digital communications and employee productivity.

The Freedom to Focus: Secure Employees, Protected Businesses report examines the balance between the ability to focus and outbound data security breaches, revealing that half of employees (50%) found that IT security slowed them down and made them less productive. , which is likely to result in an email error, as their mind is distracted from the task at hand. Meanwhile, the majority of employees (78%) felt that the IT environment required them to struggle with too many cumbersome IT security protocols and disparate IT systems, which hindered productivity and increased the risk of errors. . Most IT managers (82%) echoed these sentiments, acknowledging employees’ right to focus, without distractions.

Despite growing cybersecurity threats, the findings highlighted a significant disconnect between IT managers and employees when it comes to data security training. Only a third of employees (36%) talked about putting their data security training into practice, while another third (33%) questioned its value in the first place. On the other hand, IT managers consider training essential (85%) and three-quarters (76%) recognized its benefits in reducing email security errors. This disparity is notable as most employees (88%) rely primarily on email and prefer to use it to get their work done, while believing it to be a safe communication channel. The data clearly shows that cybersecurity training is not working, especially in silos. With data leaks on the rise, organizations need to act quickly to use smart technology to close this gap, preventing behavior that could lead to outbound risk before it even happens. In fact, four in five IT managers (79%) believe that smarter email data security could reduce errors.

This issue comes at a time when the risk of an outbound email data breach is higher than ever. Headlines usually focus on high-profile, sophisticated cyberattacks as a means of gaining access to confidential data. However, the real risk to organizations has been underestimated. The study found that a third of IT managers (33%) believe sensitive data has been put at risk due to outgoing emails.

The study also found that the widespread use of digital communication tools to help employees in hybrid work environments leads to collaboration overload – leading employees to distraction (34%), increasing stress (29% ), leading to difficulties logging out (25%) and increasing data security issues (23%).

Zivver’s findings raise important questions for organizations about how to improve employee engagement with security policies that ultimately prevent data leaks. Almost all IT managers (91%) agree, saying they could be more progressive in how they manage risk and should regularly review their approach to email security (72%). Part of this review involves the rise of smart technology that aims to replace an overreliance on training – which is seen by staff and IT teams as putting unfair pressure on the workforce to it acts as the first line of defence.

Two-thirds of employees (62%) said they make more email errors at work when they’re short on time or distracted (59%) and stressed and frustrated (37%). Indeed, IT professionals (33%) spoke of data loss due to employees attaching incorrect documents in emails.
